Guest members
Let non-members join trips as trial guests.
Prospective members join you on trips before they commit. Guests register for trips like anyone else, and if you give members priority, guests queue on the waitlist behind them on busy trips. Once a guest has a few completed trips behind them, your board gets a prompt to consider upgrading them to full membership.

Put the season on the calendar and let it run itself. Each trip carries its own cap, its own registration window, and its own leaders — sign-ups open and close on the schedule you set, not whenever someone remembers to post.
Self-filling waitlists
A cancellation shouldn't mean an empty seat. The next person on the waitlist is promoted automatically and emailed straight away, so a spot that frees up at 9pm is filled by 9pm.
Lotteries for oversubscribed trips
When a trip is oversubscribed, draw a place order instead of rewarding whoever refreshed fastest — plain or weighted, and you choose whether members see the draw.
Bump protection for your leaders
Your day leaders and directors shouldn't lose their own trip to the bumping rules. Mark the roles that are exempt and automated bumping leaves them alone.
Reusable trip templates
Most clubs run the same outings year after year. Save one as a template — route and map, pace groups, and the custom fields you collect — and scheduling next spring's run is filling in a date.
List or calendar view
Members browse the season the way that suits them: a list of upcoming trips, or a month calendar where multi-day trips span every day they cover. Both are one toggle apart, and the calendar drops into any page you build.
Printable sign-up sheets
Cell service ends at the trailhead. Print a sign-up sheet or a by-group roster for any trip and carry the paper copy — your own custom fields come along on it.
Member directory
Publish a members-only contact list — and decide column by column what it shows. Email, cell, home phone, city, address: each one is a switch, the directory is off until you turn it on, and hidden columns are never sent to the browser.
CASL-ready email
Canadian clubs have anti-spam law to answer to. Club-wide mail goes only to members who opted in, carries a one-click unsubscribe, and stays separate from the trip confirmations members need — so an unsubscribe never costs somebody their waitlist notice.

Your roster stays yours
Every club's data is walled off from every other club's — not by remembering to filter a query, but because the code physically can't address another club's records. We test for it on every change.
Sessions you can end
Sign-ins live in a cookie your browser won't hand to scripts, and changing or resetting a password immediately kills every other session on that account.
Links that work once
Invite and password-reset links are single-use and stored only as a fingerprint, so nobody — us included — can replay one out of the database later.
Fair under a rush
When a popular trip opens and fifty people click at the same second, the last spot goes to exactly one of them. No double-booking, no cap quietly exceeded.
Guarded against abuse
